Client Portal — login, hours and reports
How to log in, where to approve timesheets, and what reports we provide.
What can you do in the portal?
- Approve or correct hours (weekly)
- View current placements (name, role, period, status)
- Submit new requests (faster than email)
- Review profiles (approve/reject with justification)
- Download invoices (PDF + UBL)
- Reports: hours per cost centre, average hiring costs, etc.
- Multiple users per account (HR + planning + finance)
First-time login
Upon signing the contract, you will receive a welcome email with an activation link. Click on it, choose a password (minimum 12 characters, MFA required). Then log in at portaal.flexhero.com.
Approving hours — weekly workflow
Every Friday afternoon, you’ll receive an email with ‘pending hours’. Click through, check the hours for each craftsman (regular, overtime, ORT) and approve or correct them. Before Tuesday 12:00 = payment on Thursday for the craftsman.
Add more colleagues
Per account, you can create roles for: Admin (everything), Planner (requests + hours only), Finance (invoices + reports only), Manager (own cost centre only). Add via Settings → Users.
API integration
For clients with their own ERP/HRM system (AFAS, Exact, SAP), we offer API integration for time flow and invoice import. Ask your account manager about the OAuth flow and endpoints.
